    Price Changes And Label Printing

    by CourtneyNHS » Wed Aug 05, 2009 12:21 pm

    Hello,

I have to coordinate price changes for three stores. I am looking for a way to set up label printing for all inventory items I update so that each store doesn't have to spend a bunch of time selecting items to print labels from inventory. Is there a way to set up a zero quantity PO or something that would not affect the inventory but would allow me to assemble a list in RE of the updates? Would it work if I made a PO with no quantities that could be received and then the label count modified as needed by the particular location? What is the best way to handle this?

I am little confused about what you are doing now but I will try and explain what we do and hopefully it will work for you.

In a multi-location business, RetailEdge can either do centralized receiving or receiving at the individual locations. I will discuss it in terms of receiving off of a Purchase Order (PO) but you can get things into inventory directly through the receiving file or inventory (not recommended) as I am sure you know.

In the simplest form (non centralized receiving), you would:

    1. Create a Purchase Order to be shipped to each location.
    2. The quantities for the items would be for the Ship To Location.
    3. When the Purchase Order is received, the Location would Receive the items into the Receiving file.
    4. Print barcode labels with pricing for the items in Receiving (from the Toolbar) RetailEdge will print the correct item quantities for each item being received.
    5. Update. This will move all the items out of Receiving, pull them off the PO and update your inventory quantities, averages costs and other information about the items.

    In Centralized Receiving, you would:

    1. Create a Purchase Order to be shipped to a centralized/main location.
    2. The quantities for the items on the PO would be for each individual location.
    3. When the Purchase Order is received, the main location would Receive the items into the Receiving file. All items for all locations will be received into the centralized/main location.
    4. You have the option if you choose to print tags for the items in centralized/main location receiving (from the Toolbar) RetailEdge will print the correct item quantities for each item being received.
    5. Update. This will move all the items out of Receiving, pull them off the PO and update your centralized/main location inventory quantities, averages costs and other information about the items. RetailEdge will also automatically create a Transfer Order (TO) for all the items/quantities that were designated to go to another location.
    6. When the items are shipped to the other locations, personnel in the other locations will Receive the TO. All items destined for that location will be received into the locations Receiving file.
    7. The location will have the option if you choose to print tags for the items in that locations receiving (from the Toolbar) RetailEdge will print the correct item quantities for each item being received.
    8. Update. This will move all the items out of Receiving, pull them off the TO and update your that location's inventory quantities, averages costs and other information about the item.

You can always print labels off of a Purchase Order so that you have tags pre-printed and ready to go when the items come in.

The one thing you can't do from receiving is print labels for all quantity of items being received plus the amount in inventory. Some users sometimes need to do this when printing pricing changes. However it is pretty easy to print labels for selected items in Inventory. If you need to select multiple items from inventory simply press the CTRL key down and click on the items you want to print labels for. Then press the Labels button on the inventory screen. This will print labels for all the items selected and will default to the number of items in inventory.

Another thing to consider using is the Label Count field in Receiving (found on the Location tab). When adding items into Receiving RetailEdge will set the default Label Count to the amount being Received. If you want you can change this value. This is fairly common for things like printing only one label for a spool of cord (when you are receiving 500 feet) or printing one label for a basket of items that you don't want to individually label. This field could be used to allow you to set the quantity of labels to print to be the quantity received plus the amount in inventory (viewed on the right hand side of the editor).

    Hopefully this helps.

    Hello,
OK I am approaching price changes from an internal control standpoint. I need to be able to assemble "something" and make it available to all locations that will allow them to just push a button or two and be able to print pricing labels for a list of items that I put together. Ideally this "something" would automatically default the label count to the quantity of items in stock for each particular location's quantities. Also on the wish list of how this would function: To be able to work in two windows at once with the ability to drag and drop items from the inventory manager into a "price update screen" that wont affect the inventory quantities, a place solely to print labels from(instead of doing this from the receiving screen and then deleting, a major set up for errors if they accidentally update). Does any of this exist already? What is the best way for me to try to get this done?

What doesn't work for me in this program:
    1. Having to select items one by one with the Ctrl button in the inventory manager. The label printing often crashes if I have many more than 50 items highlighted. Our time is valuable this needs to be more efficient.
2.Having to go down the label printing list and press 1,1,1,1,1 over and over again for every single item in the list. Why isn't there a way to just put a blanket quantity down? This would be very helpful for shelf tag printing.
3.The inability to assemble a list that all locations can use to efficiently print off updated labeling without having the inventory at risk of being changed. If I made these lists in the receiving screen, all it would take is one mistake of updating the info on accident and then the entire inventory associated with those items would be inaccurate.

Is there a step that I'm missing somewhere that would solve these problems? I feel like what I'm trying to do is so cumbersome and time consuming. It seems like there must be an easier way to get these simple things done.

    Thanks For Your Help,
    Courtney

    1. Having to select items one by one with the Ctrl button in the inventory manager. The label printing often crashes if I have many more than 50 items highlighted. Our time is valuable this needs to be more efficient.
This has been fixed in 8.1.8. Please download the latest update (as per another Forum thread). BTW, you can also use the Shift-Click technique to select a range of records. this might be faster in many situations.

That said, I understand the point you are making about reprinting labels. One option might be to create a dummy PO and print the labels from there. Delete the PO when done. This would provide a safer workspace compared to the Receiving file.

There is still something missing in the PO solution, though. When one clicks on the "Copy to PO" button in the Inventory Manager, the "Copy to PO" form is displayed with quantities of 0. You would have to change each record to some value. I will post a suggestion in our tracking system to had some UI to allow for setting the quantities automatically (perhaps with options of 1 or Qty on Hand).

    Hello,
Thanks for making the button for changing quantities to 1 in the label printing list. This is helping me a bunch.

    Yay!,

    Hello,

Ive been thinking about and experimenting with some of your suggestions. I recently figured out how to print out my shelf tags before the price changes take place. I've been creating a PO and using that to print my labels out with. I successfully use the same PO to update the cost & price changes. The weak point of using the POs to update cost & price with is that its not really a PO(we aren't really purchasing any items). I must receive the items with a quantity of "1" to make the cost/pricing "stick". In order to keep my inventory from being off by one, I then have to receive the PO a second time with all quantities at "-1". This is working ok for now but it would be really great if I could receive a list of items with the quantities set at zero but still have it update the new cost & price. maybe the PO could be called something else like an "Update" (ex. how it calls a negative PO a return order). Is this something you could incorporate into a RE update or is it more involved than that?

One other detail that keeps tripping me up is how an open PO with old cost/pricing on it can change the "new" pricing back if I don't catch it and fix it in time. Is there a way to have a receiving update overwrite the cost/pricing on open POs that are not yet received?

    Thanks,
    Courtney

    Courtney,

We did have a way of doing zero receiving in our 7.5 program and have worked towards doing this in 8.1. However we did make a number of pricing type changes in the last release and wanted to make these more "invasive" changes incrementally. We could implement this a number of ways and so it will require some thought. We could allow zero receiving in 8.1 or we could simply have an update price button on the PO screen.

We do have some more pricing update features in the future plans like taking a vendor file with SKU, price and updating pricing with these values.

    Anyway keep suggesting things.
