    Refine PO and Receiving screens

    by WheresTheDog » Mon Oct 22, 2007 12:07 am

    PO:
I would like to see the Items screen for POs changed to be similar to the Items screen (tab) for Sales. It would make creating POs easier.

Basically add a Find Item field so you don't have to click on the Add button enter a stock number and clicking on the Save button. You could enter the Stock number, scan in bar code, etc and just add the items, then change the quantities in the list.

    RECEIVING:
I would like to see the same change made to the Receiving screen. It would also be of great help to be able to change quantities and cost directly on the Receiving screen instead of having to modify each individual item on the list.

Ultimately I'd also like to be able to have held Receiving vouchers, but the work around of having creating a PO is acceptable enough.

In my evaluation of different POS systems, I'm really leaning towards RetailEdge. We really want to get off of QBPOS. However, I can see a dramatic increase in the time it takes to create POs or do receiving. We have invoices that range from just 5 SKUs to 100+ different SKUs.

The large invoices can take me an hour to receive using QBPOS, but in RetailEdge I can easily see that taking 2-3 hours. Even using the keyboard to do Alt+A, enter the stock number, which I can guarantee I don't have memorized with 8000+ items in our inventory so I'm going to have to hit F4 for find... Then go to the Quantity tab, finally Alt+V. Oh, forgot to update the cost. Alt+M, pgdn, pgdn, enter cost, Alt+C to copy cost, enter, Alt+V

In QBPOS, I can enter a description, UPC, item number, down arrow, adjust quantity, right arrow, adjust cost, done.

Creating a PO or Sale is pretty much exactly the same process.

I also don't see any place where the invoice number or terms are entered for receiving items. How can I track which invoices items have been received on?

I can create some mockup screens if that would help.

We probably won't make a change like this anytime soon, but will add it to the suggestions. This would represent a major UI change and there is a lot of error checking done when saving an editor screen that may or not be availble from the grid views.

The POs sounds like the way to go. This will give you the on order quantities. You can copy templated POs if you want.

Also there are some tricks to receiving that should save you some of these steps.

Scan the barcode of the item you are receiving. This is one of the advantages of using a UPC code for a stock number. So when you are receiving an item, you can simply:

    1. scan it from the manufacturer/vendors packaging. If you are not using the UPC, then you might want to consider doing receiving though the PICs list (see below).
    2. RetailEdge will automatically move to the quantity tab if the item is found in inventory so you just have to type in the quantity.
    3. Press Page-Dn type in a cost.
    4. Pess Alt-V to save.

One thing you might want to try is the PICs list. This allows you to add items by scanning them into a list. Once the items are in the list, you can add them to POs (new or existing), directly into receiving, receive from a PO, adjust inventory quantities directly, or even add them to a sales screen. This is a very powerful tool available in RetailEdge. So for instance, you can scan items you are receiving in a receiving location as they come in using a back office computer or even a portable data terminal (PDT). You could even use the PDT to scan items in your store that you want to add onto a PO or scan items for cycle counts.

To access this in RetailEdge choose Edit from the Inventory|PICs menu item.

    Hope this helps.

You can even import items into the PICs list. This might provide you with the time savings you are looking for.
