    2 prices for one item, one negative

    I would like to quickly switch between two prices on one item while in the sales screen with one of the prices being negative.

    I'm going to be running a used video game store and customers will be bringing used games in to trade for store credit. I need it to be a quick and simple process of scanning the games they want to trade in at a negative price, giving them store credit, and then scanning the games they want to buy with their store credit, preferably in the same transaction.

    Pushing Ctrl+N and altering the price of each game is a bit time consuming. A button or keyboard shortcut that switches between two prices would be ideal. it would also be great if I could give an item a negative sale price.

    I have not yet purchased the program since it doesn't seem to do what I need, but so far it has come the closest compared to the others I've seen.

    We have heard this request a number of times and I think the way people are handling this type of discounting is with the price level discounting. Every item in RetailEdge can have up to six different price levels (Sugg. Retail and Price 1 - 5). The normal selling price is Price 1. Suggested Retail is used if you want to show a discount on the Sales Screen or want to show Was/Is or Their Price/Our Price on your pricing labels. On the sales screen, RetailEdge will show that you have discounted the item and will calculate the discount based on the difference between the selling price and the Suggested Retail for the item.

    For return of video games you would setup different pricing levels. For instance, Price 1 - Normal Retail, Price 2 - used good condition, Price 3 - used average condition, etc. On the Sales Screen pressing Ctrl-Alt- 1 -5 will discount the current line to the appropriate price level. Also Ctrl-N will change the quantity to the negative for the return.

    I would not recommend that you put in negative pricing for these items because this will most likely mess up your margins shown in the sales reports because your cost will still be positive. So your reports will show something like sold item x for -$1.00 and it cost me $2.00. I am not sure how you would go about interpreting this information. Even with the recommended method of returning the item at a discounted price will require some interpretation.

    For instance, you sell one at full price (new), return one used at 50% discount, and then sell the used one at 75% of the new price. Let's say that your cost on the item is $1.00 and you sell it new for $2.00. Your sales report will look something like

    Qty Cost Price Margin
    1 $1.00 $2.00 50%
    -1 -$1.00 -$1.00 0%
    1 $1.00 $1.50 33.3%

    So your costs will be OK but only once you have sold that used item again. Until that time, you will be showing a cost of $0.00 and a total Price and Profit of $1.00. So unless you actually sold them the game in the first place this might be a little misleading.

    Also doing it this way does not allow you to track the used inventory differently from your new inventory.

    You might want to consider purchasing a programmable keyboard for your business. You can purchase a Logic Controls Programmable Keyboard for only about $116.00. It comes with a good programming software to make it easy to map your keys. You can also download templates and rename the keys. So you could create a return key, and keys for each different price level.

    Another way to do what you want would be to create different SKUs for each different used level. So you would create an item for each of the price levels in your inventory. So you might create items with SKUs: Game1, Game1 Good, Game2 Average, etc. Each item would have its appropriate pricing. Then you would Scan the UPC into the UPC1 or UPC2 field for the items. RetailEdge can handle having the same UPC in the UPC fields for multiple items. What will happen when you scan the item is that you will get a list of items coming up and the clerk will have to select the correct one he is selling. This will be a little slower when someone just wants to scan a number of items, but it will allow you to track inventory and costs better.
